Accounting sync — FAQ

What the QuickBooks & Xero sync actually does

Straight answers on what happens once your books are connected.

What does the QuickBooks sync actually do?
Every invoice InvoiceFlow generates from a WhatsApp order gets pushed into QuickBooks Online as a proper invoice entry — customer, line items, tax codes, amounts, all populated. Same for Xero. Under 60 seconds from WhatsApp message to books-of-record. No CSV imports, no month-end catch-up, no bookkeeper re-typing.
Do I still need to type invoices into QuickBooks?
No. Zero double entry. The invoice your customer receives on WhatsApp is the same record sitting in QuickBooks — one source of truth. Your bookkeeper opens QuickBooks Monday morning and last week's orders are already there, coded correctly.
How does it know which QuickBooks product to use?
During setup we auto-match your InvoiceFlow price list to your QuickBooks products/services list. You approve the mapping (or override it) in about 2 minutes. After that, “20kg basmati rice” on WhatsApp fires the correct SKU on the invoice, every time. New products you add later auto-map based on name similarity, and you approve anything the parser isn't 100% sure about.
How do I connect QuickBooks to InvoiceFlow?
Click “Connect QuickBooks” in your InvoiceFlow dashboard, log into your accounting account on Intuit's own login page, hit Authorise. Takes 30 seconds. It's standard OAuth — you never hand us your accounting password, and you can revoke access anytime from QuickBooks' “Apps & Connections” screen.
What about VAT / tax codes?
VAT is applied at invoice-generation time using the tax code you've set for each product in QuickBooks — 20%, 5%, 0%, exempt, or your own custom codes. That means quarterly VAT returns pull from clean data instead of a spreadsheet you had to hand-build. Full MTD-compatible.
Does it help with bank reconciliation?
Massively. When a payment lands in your bank feed, QuickBooks already has the matching invoice waiting — one-click match, done. No more “which invoice was this £427.50 payment for?” hunting. If you use a payment gateway (Stripe, etc.), those payments auto-reconcile against the InvoiceFlow-generated invoice too.
Can I still edit an invoice inside QuickBooks after it syncs?
Yes — it's a normal QuickBooks invoice. Edit, void, credit-note, apply payment, whatever your workflow needs. Any change you make in QuickBooks (marked paid, edited amount, etc.) also reflects back in your InvoiceFlow dashboard so your team sees consistent status.
What if the sync fails — do I lose the invoice?
No. Every invoice is generated and stored in InvoiceFlow first, then pushed to QuickBooks. If Intuit's API is down (rare — they have 99.9%+ uptime), the invoice queues and retries automatically. Your customer still gets the branded PDF instantly via WhatsApp/email. You'll see any queued items in the dashboard with one-click retry.
Can I use both QuickBooks and Xero?
Starter tier connects to one platform — QuickBooks or Xero. Growth and Enterprise tiers connect to both simultaneously, plus multi-entity setups (helpful if you run two trading companies and one nominal ledger). See pricing for the split.
Is my QuickBooks data safe?
Yes. OAuth connection (we never see your Intuit password), TLS in transit, AES-256 at rest, UK-hosted, GDPR compliant, full audit trail on every sync. Intuit publishes InvoiceFlow-scope permissions before you authorise — you know exactly what we can read and write. Revoke access from QuickBooks in one click, anytime.
Do you support QuickBooks Desktop?
QuickBooks Online is fully supported (all regions — UK, US, CA, AU). QuickBooks Desktop is on the roadmap via the Web Connector — planned Q4 2026. If you're on Desktop, book a call — we've had good results with a hybrid export flow while the native integration ships.
Do I need my own QuickBooks or Xero subscription?
Yes — you bring your own. InvoiceFlow connects to your existing QuickBooks Online or Xero account. Any tier works (QuickBooks Simple Start from £14/mo, Xero Starter from £16/mo as of 2026). Same model as your WhatsApp Business API messaging and Stripe fees — the third-party accounts stay yours, in your name, on your billing. If you don't have QuickBooks or Xero yet, we help you pick the right tier during the setup call — no rev-share, no referral markup, we just point you at the plan that fits. Why we don't bundle it: your books stay 100% yours, your accountant keeps their existing access, and you're never locked into InvoiceFlow — fire us tomorrow, keep all your data.
My bookkeeper is a real human — how do they fit in?
Bookkeepers love it. Instead of manually entering 200+ invoices a week, they oversee the sync, handle the exceptions (edge-case orders that landed in the review queue), and focus on real accounting work — reconciliation, cash-flow analysis, chasing debts. Every InvoiceFlow client we've onboarded has kept their bookkeeper; their job just got 60–80% less data-entry-heavy.

See it wired to your books.

Book a 20-minute demo. We'll connect it to a QuickBooks or Xero sandbox live on the call.
